SUMMARY OF JOB DESCRIPTION: Welcome and provide information to parents, staff and community members visiting the counseling office with a strong emphasis on customer service. Maintain accurate and up-to-date student and staff databases. Perform clerical and secretarial duties to coordinate meetings, trainings, parent events as well as support internal and external communication.
SUPERVISED BY: Principal & Assistant Principals of Battle Mountain High School.
ESSENTIAL JOB ELEMENTS:
1. Perform receptionist duties: answer telephone, provide information to callers, take messages, forward phone calls as appropriate, greet visitors to office and provide information or directions with a strong focus on customer service.
2. Perform routine word processing related to department functions.
3. Maintain cumulative filing systems related to areas of responsibility.
4. Record notes/minutes for department meetings, distribute and maintain records.
5. Set up, maintain and archive files and sort a variety of documents, which include sensitive and confidential information.
6. Compose routine correspondence, such as monthly news letter, reports and update lists.
7. Update, publish and distribute parent communication documents.
8. Sort and distribute district mail.
9. Coordinate and communication parent/staff training, and coordination of department wide meetings.
10. Process and accurately input data into web based systems.
11. Assist with staff recruitment and selection.
12. Perform a variety of duties using various types of office equipment.
13. Compile and complete necessary student and staff information directories, and reports required by the district and regulating agencies.
13. Coordinate communication between counseling services and programs as well as district personnel.
14. Perform other duties assigned by the department director.

QUALIFICATIONS and SKILLS REQUIRED:
1. High school diploma or equivalent.
2. At least two years previous secretarial experience.
3. Effective communication and interpersonal skills.
4. Excellent customer service skills with both internal and external clients.
5. Strong knowledge of computer: keyboarding, database, spreadsheet and word processing.
6. Successful experiences working with confidential information in an office setting.
7. Problem-solving capabilities and ability to work with minimal supervision and direction.
8. Strong organization and record keeping skills and systems.
9. Ability to prioritize and effectively manage time.
10. Bilingual capability preferred.
