Position Overview
The program coordinator supports the colleges and State Board by coordinating the operation of specialized workforce education funding programs. Under general direction, the program coordinator will support the routine operations of the Job Skills Program, Customized Training Program, Commercial Driver’s License Grants, and other programs as needed.
The program coordinator is a collaborator with a number of teammates to ensure the efficient and effective operation of specific funding programs. This position requires the ability to initiate and follow established processes for grant program administration, including protocols supporting grant application and review, invoicing, and reporting. The position routinely interacts with fiscal department personnel to carry out shared processes, requiring strong written, oral, and team communications skills in the interest of continuous process improvement. The position will support the production of a variety of reports, requiring competencies in compiling narrative, tabular, and graphic information under the direction of policy associates and program administrators. The position will support and coordinate meetings and webinars by providing logistical and practical assistance for events.
The program coordinator reports to the Policy Associate for Workforce Education. This position has no supervisory responsibilities. This position will ideally be headquartered in Olympia. However, hybrid or remote work can be negotiated.

- Prepare a variety of reports and report elements using templates, editing reports content for consistent syntax and formatting, and incorporating tables and charts into reports.
- Track a variety of grant program elements, including awards, amendments, addenda, and invoices.
- Provide practical and logistical support for scheduling, convening, and facilitating in-person, hybrid, and remote meetings.
- Design and conduct grant program funding surveys to determine fund utilization rates and compile funding redistribution requests for review by program and policy staff.
- Develop and deploy communications to grantees to ensure program requirements, such as timely invoicing, are followed.
- Triage and answer grantee questions about program guidelines and participant eligibility, and escalate non-routine questions to the responsible program or policy staff.
- Ensure the timely dissemination of required report templates to grantees, notify grantees of late reports, and compile key report elements into summaries for a variety of audiences.
- Produce completeness checks of all grant applications, ensuring that required materials are submitted completely and on time.
- Compile and post feedback to grant applicants through the Online Grant Management System.
- Participate in and contribute to team-oriented program planning and process improvement efforts.
- Perform other duties as assigned.
- Demonstrated problem-solving and analytical abilities.
- Strong written, verbal, presentation, and interpersonal communication skills.
- Strong skills in MS Word and Google Docs, including ability to format reports for external audiences, integrate content from a number of sources into a document, conduct accessibility checks, and incorporate input from multiple reviewers.
- Excellent proof-reading skills.
- Functional skill level in Zoom Meeting or an equivalent platform, including scheduling, security settings, assigning breakout rooms, troubleshooting technical issues, monitoring chat, recording, and accessibility settings.
- An Associate’s Degree or equivalent combination of related experience and/or education.
- A passion for workforce education and training, and excitement about supporting colleges in creating economic opportunities for all Washingtonians.
- The commitment to principles and practices of equity and inclusion in the workplace and in public education and training, in alignment with SBCTC’s Vision, Mission, and Strategic Plan.
