Job Purpose

Newcap is a community action agency equipping low-income citizens with the tools and potential for achieving economic security. We are seeking to add an Executive Administrative Assistant to our growing team at Newcap where we are embracing a Whole Family Approach. Meeting families not where they are – but where they dream.

This individual must demonstrate strong problem-solving skills, have the ability to multi-task, and effectively communicate with our staff, board members, and community partners. They provide high-level administrative support to the multi-program human service agency executives by conducting research, preparing statistical reports, handling information requests, and performing clerical functions.

Essential Duties and Responsibilities of the Executive Administrative Assistant

  • Provides Executive Level support to CEO/President.

    • Tasks include:
      • Heavy calendar management

      • Significant domestic travel arrangements
      • Composing, preparing, editing correspondence not only to and within the company organization, but often with outside executives or directors, government officials, news media, etc

      • Purchase orders and credit card statement reconciliation
      • Partnering closely with each executive to ensure they are well informed of upcoming commitments and responsibilities, and following up as needed, which includes Team Huddles and events

      • Screens incoming calls, receives and routes mail, and responds to general requests for information.
      • Coordinates and schedules internal meetings and department events, creates meeting agendas and follow-up meeting notes, as needed.

      • Order office supplies and work with vendors.
      • Can represent / respond on CEO s or Executive Staff ‘s behalf during their absence, as appropriate.

      • Help with CSGB, ROMA and desk audits as needed.


  • Other Duties as Assigned:

    • Board of Directors
      • Organizes and manages the logistics for quarterly in-person Board Meetings, requiring frequent interaction with external board directors.
      • Prepares meeting agendas and minutes, coordinates food and beverage for each meeting, and communications regarding the meetings, and prepares calendar invitations for each meeting.
      • Produces presentations for the event, and coordinates any outside speakers, presenters or guests.
      • Facilitates and maintains Apple Support for Board Members
    • Brown County Homeless and Housing Coalition
      • Assist with emails, Agendas, calendar events and Committees.

    • Research and Development
      • Eagerly is available to research new and innovative ways to organize the Executive Team and President.

      • Comfortable with training and development of new processes and procedures to help grow the company.
      • Willing to join committees both inside and outside the company to learn and share ideas and innovations within the industry.

  • Passionate about researching, creating, and implementing procedures that will streamline processes and enable additional success to the team and company.

Education and Experience Requirements:

  • High school diploma.

  • Minimum 3-5 years or executive administrative experience.

  • Deep level of understand of and comfort with database systems.

  • Highly proficient with Microsoft Office programs, the overall use of computers and general office equipment. Competent in Zoom, Microsoft Teams and web based organizational tools.
