POSITION SUMMARY:

The Office Administrative Coordinator is responsible for receiving and properly routing all phone calls and guests during operating hours, supporting the HR and Operations teams daily, and working closely with all departments to support planned programs and activities in the Nashville office location.

ESSENTIAL RESPONSIBILITIES: To perform this job, an individual must perform each essential function satisfactorily with or without reasonable accommodation.

  • Greet all internal and external clients with a professional and pleasant demeanor; answer all calls within two rings, professionally and pleasantly with welcoming tone; properly route calls to correct department, including the name and affiliation for reference
  • Direct office activities and functions ensuring all equipment is functioning properly
  • Ensure appropriate items are stocked to support planned activities
  • Respond to and resolve inquiries as directed in relation to the office and office staff
  • Act as company liaison with property management company, facilities, and vendors
  • Coordinate with appropriate team members to ensure training and therapeutic spaces are arranged and organized as needed for all scheduled events
  • Responsible for the scheduling of workspace; troubleshoot concerns as needed
  • Maintain office supplies inventory, ordering and tracking items in accordance with budget
  • Assist with designated projects to support the Human Resources and Operations teams

  • Actively participate in the strategic execution of the Company’s Vision and Strategic Plan as requested
  • Actively participate both in obtaining and maintaining Commission on Accreditation of Rehabilitation Facilities (CARF) accreditation by timely assistance with all requests, training and adhering to Policies and Procedures
  • Exhibit a comprehensive understanding of healthcare regulatory and compliance policy (e.g., HIPAA, CARF, etc.). Knowledge of and adherence to Company policies and procedures, as well as applicable federal / state / local laws and regulations. Maintain complete confidentiality in all client/program matters, in accordance with Onsite policy
  • Regular and reliable attendance
  • Perform other duties as assigned

Requirements:

Education and/or Experience:

High school education with college level training, Bachelor’s degree preferred; 2-5 years clerical or administrative experience required; Ability to prioritize tasks and incoming calls required; Pleasant and professional phone voice required; prior Human Resources experience preferred
