Hunton Andrews Kurth LLP, an international law firm, is actively recruiting an Office Administrator in the Charlotte office. This position is responsible for ensuring the needs of our clients, lawyers and staff are met through the efficient administration and collaboration of local office and firmwide resources in the areas of client accounting, accounts payable, information technology, facilities management, human resources, and other support services. Works closely with all levels of firm leadership to ensure adherence to firm policies and best practices. Leads change on behalf of the firm at the office level.
RESPONSIBILITIES AND ACCOUNTABILITIES:
1. Oversees all aspects of space and operations requirements for office. Plans and implements all moves of the firm’s lawyers and staff into new facilities or expansions of existing facilities, to include build out and construction, expansion and renewal, relocations, repairs and maintenance, establishing control standards and budgets. Oversight of construction vendors. Works with the firm’s brokers and Real Estate Committee to review leases, lease amendments, and letters of intent. Participates in selection of movers and preparation of move materials (chronology, manual, newsletters, etc.). Participates in actual moves to coordinate and advise, and performs required follow-up after the moves.
2. Provides sufficient work space, furniture and equipment to Charlotte office members that is functional, operable, comfortable, safe and clean within policy guidelines. Plans for growth projections, space needs, furniture and equipment requirements with team/department heads. Serves as liaison with building management to ensure a comfortable, safe and clean environment, following up on service and response levels.
3. Prepares the office budget, develops and reports on projections of income and expenses for the fiscal year. Monitors results on a monthly basis and prepares quarterly analyses of projected income and expenditures compared to actual income and expenditures.
4. Facilitates billing and collection efforts through collaboration with various firm resources. Develops tactics to meet quarterly billing and collection goals. Monitors and reports on the success of billing and collection efforts.
5. Reviews office statistics regarding performance and profitability. Makes recommendations and implements plans to improve attorney and staff timekeeper financial results. Reviews monthly team workload report to assess and validate current staffing levels and office discretionary spending.
QUALIFICATIONS:
Education: Bachelor’s degree preferred.
Experience: Minimum of five years of management experience. Preferably in a law firm, professional services, or other client relationship-based organization.
Other Minimum Qualifications: Frequent travel may be required. Availability and willingness to work hours as needed to meet critical deadlines. Proficiency with Microsoft Office Suite applications. Strong commitment to client service excellence and teamwork. Must possess the highest standards of ethical conduct and professionalism. Must act as catalyst for change, drive and own results. Creative and innovative. Excellent communication skills (oral, written and listening) and ability to collaborate effectively with diverse group of professionals. Sound judgment and flexibility. Ability to work well under pressure, patience, diplomacy, high stress tolerance, excellent interpersonal communication skills, ability to prioritize workload and adapt to changing conditions. Visual acuity needed to process and read extensive written communications. Ability to receive and convey detailed information through oral communication. Essential competency processes include language ability, reasoning and memory.
