Warehouse Admin Assistant

Job Description
The Warehouse Administrative Assistant is responsible for supporting the Warehouse Operations Manager. Some of the items that the Admin Assistant will provide support for are:
- Understand and comply with all WPI policies, procedures, and corporate safety program.
- Help drive a positive customer experience by building relationships, exhibiting empathy, and providing solutions to their needs.
- Track and facilitate vehicle registration and smog compliance.
- Create and maintain vehicle maintenance files/logs and track insurance cards.
- Notify drivers of recalls/maintenance and schedule repairs with drivers.
- Coordinate vehicle branding.
- Assist with the purchase of new vehicles: follow up on quotes, complete fixed assist requests, and complete check requests.
- Assist with logistical permitting, truck safety, fuel logs, and monthly reporting.
- Assist with the coordination of facility services such as janitorial, HVAC maintenance, water/ice, security service, waste management, pest control, etc.
- Assist with coordination of the facilities contractors. (Electrician, Plumber, Landscaper, etc.)
- Receive, sort, and forward incoming mail. Coordinate pick-up and delivery of FedEx, UPS, etc. Contact office staff when packages are received for them.
- Assist with warehouse inventory (fasteners, small tools, equipment) and distribution of job site safety gear, high viz shirts, hard hats, safety glasses, etc.
- Assist in developing new warehouse efficiencies, warehouse orders from field, tool lists, trucking schedule, etc.
Requirements
Basic Requirements
- Able to stand and sit for long periods of time.
- Able to work in a non-climate-controlled environment.
Minimum Requirements
- Able to learn new software programs and work with multiple operating systems.
- Proficient in Microsoft Windows, Microsoft Office Suite (Excel, Word, and Outlook).
- Strong oral and written communication skills is required.
- Ability to work in team environment is required.
- Strong customer service skills are required.
- Ability to multitask, think critically, and problem-solve is required.
- Ability to learn new job skills by engaging in the technical aspects of the job and applying new skills as they are taught is required.
- Must be able to work independently, make decisions, and follow through on all assignments.
- Must possess strong organizational and computer use skills and have a high level of competency to read/write/speak English and communicate with coworkers.
Preferred Requirements
- Local to office is preferred
