Program Coordinator (Full-Time Position)

Japan Society of Northern California Seeks Experienced and Enthusiastic Program Coordinator

The Japan Society of Northern California (JSNC) is seeking a high-energy and efficient event planner with excellent attention to detail, exceptional organizational skills, and a passion for Japan. The Program Coordinator will report to the COO and work with the President, Board Members, and the Program Committee to organize, execute, and promote the Japan Society’s many exciting programs and special events. These programs include our regular speaker events and workshops that cover a broad range of topics (business, healthcare, politics, Japanese culture, food, language, etc.), as well as large annual events such as our Innovation Awards Symposium, our US-Japan Healthcare Connection Conference in Japan, and our Gala dinner. The Program Coordinator will also be responsible for managing and tracking our program marketing activities, including our social media presence, our email marketing campaigns, and media outreach.

We are looking for a go-getter and self-starter who loves working in a small team and is able to thrive with minimal guidance. This position is a great opportunity to work directly with senior executives, former U.S. Government officials, and leaders in the Bay Area's Japan-related community, providing experience that will establish a sound foundation for a successful career in non-profit, public, or private sectors.

Responsibilities:

The Program Coordinator will report to and work closely with the COO. This position is responsible for the following activities:

  • Event administration: Overseeing all aspects of program events, including planning events, arranging venues, marketing programs, and managing event logistics and onsite administration.
  • Surveys and reporting: Conducting and analyzing after-event surveys and reporting results to the COO and President.
  • Social media management: Developing strategies for our social media and managing our presence on the web through our newsletter, email marketing campaigns, and Facebook, Twitter, and Instagram. This involves developing effective social media strategies, creating appropriate content, and updating our various platforms.
  • Japanese Language Class support: Assist with marketing and program support, as instructed by the COO and/or Language Coordinator.
  • Event initiation: Propose, develop, and run new programs (events, seminars, community activities, etc.) to help JSNC achieve its mission, considering the needs of our current and target corporate and individual members and stakeholders.
  • Teamwork: Work closely and collaboratively with the JSNC team and Board Members, as appropriate, to perform your responsibilities. This includes extensive daily use of Slack, Dropbox, Google Calendar, e-mail, and other collaboration tools.
  • Volunteer collaboration: Work with and guide our interns/volunteers to effectively market and administer our events.
  • Partner collaboration: Communicate and collaborate with other non-profit organizations, educational institutions, and sponsoring businesses that JSNC works with, if instructed by the COO to do so.
  • Other: Assist with a wide variety of other ad-hoc projects and assignments, as directed by the COO and/or President.

Qualifications:

  • Experience running complex in-person and online events, ranging from small VIP events to large events with hundreds of attendees (prior professional experience with event planning and/or equivalent volunteer experience is a must).
  • Personable, outgoing community-builder with the ability to work with a wide range of individuals, backgrounds, age groups, and nationalities.
  • Exceptional organizational skills and a proven ability to manage multiple projects simultaneously.
  • Outstanding attention to detail and a passion for flawless execution.
  • Excellent computer and Internet skills, including knowledge of core IT programs such as Adobe Creative Cloud, Canva, WordPress, Google Ads, Office 365, Slack, Dropbox, Salesforce, MailChimp, Eventbrite, etc.
  • Excellent English language speaking and copywriting skills, particularly in social media outreach and content curation (strong editing and proofreading skills are a must).
  • Strong, proactive initiator who is eager and able to work efficiently with minimal supervision.
  • Team-oriented and collaborative, can-do attitude, willing to pitch in as necessary.
  • BA/BS degree.
  • Able to work a flexible schedule, including some evenings and weekends.
  • Able to lift 30 lbs.

Other:

  • Non-profit experience, volunteer management experience, and/or experience working with non-profit boards.
  • Passionate about JSNC’s mission of building connections between the Bay Area and Japan.
  • Japanese language skills are a plus.

Salary:
Competitive non-profit salary. Salary is commensurate with experience and the nonprofit environment.

Schedule:
Monday to Friday, though we have frequent evening and occasional weekend events.

Language:
Fluent in English (required) and Japanese (preferred).

Work Location:
In-person (4 days/week), and able to attend events in-person throughout the Bay Area (especially in San Francisco and on the Peninsula).
