Job Description
Job Title: Project Assistant
Reports To: Special Projects Manager
Job Purpose: The Project Assistant will provide assistance and support with the implementation, execution and coordination of programs and events; coordinate communications, participant recruitment and registration. The Assistant will assist in contributing to the development of grant proposals and will assist in collecting and maintaining data for the development of reports to funding agencies. This person is highly organized, detail-oriented, and self- motivated. The Assistant must demonstrate an active commitment to Papahana Kuaolaʻs mission in all aspects of daily work.
Essential Duties and Responsibilities:
1. Prepares program materials for activities; reviews, edits and updates program materials as needed.
2. Maintains physical and electronic filing systems for all grant-related activity.
3. In collaboration with the grants team, maintains an annual grants calendar that tracks grants submission and reporting deadlines.
4. Compiles and maintains program statistics and evaluations.
5. Coordinates program participation in conferences and workshops for teachers.
6. Contributes to development of grant proposals and reports to funding agencies.
7. Provides general program support.
8. Communicates and collaborates with outside agencies and individuals.
9. Participates in staff training opportunities for continued development of pertinent knowledge and skills.
10. Attends meetings and training sessions as scheduled by the Special Projects Manager and/or Education Director.
11. Performs other work-related duties and responsibilities as assigned by the Special
Projects Manager and/or Education Director.
Required Job Qualifications:
Education and Experience
1. Bachelor of Arts (B.A.) preferably in Hawaiian or Pacific Studies.
2. Two years progressively responsible office administration experience, preferably in the areas of grants and/or project implementation.
Skills, Knowledge, and Abilities
1. Good oral and written communication skills
2. Ability to design document layout
Working Environment:
Work takes place primarily in an office setting; some activities held outdoors.
Desired Job Qualifications:
1. Knowledge, understanding, and experience with writing, editing and layout
2. Familiar with proper usage of the Hawaiian language and diacritical markings
3. Knowledge, understanding, and experience with Hawaiian cultural and environmental education
